AppSheet recruitment app on a spreadsheet HR database
For an engineering & surveying firm in Australia. A spreadsheet HR database turned into an AppSheet recruitment app with campaigns, a candidate pipeline, interview questions per role and status emails, approved within 5 days.
What the animation shows, scene by scene:
- HR sheet: Recruitment ran on a spreadsheet with notes crammed into one cell, and the old Apps Script interface no longer worked.
- Pain: Notes and comments in one cell, CVs copy-pasted from PDFs, and a manager who knew AppSheet but had no time to rebuild it.
- The app: An AppSheet app on the same data, with Home, Campaigns, Candidates and Settings; each candidate is linked to a job and each job shows its candidates.
- Pipeline: A pipeline from to be reviewed through alignment quiz, call, shortlist and interview to final candidate: 15+ stages editable in Settings, and 6 interview questions per role shown automatically.
- Automations: A status change triggers an AppSheet bot and the client's existing Apps Script, so the right person gets an email; every candidate has a status change log.
- Result: Demoed 5 days after the offer and approved the same day; used as the blueprint for the client's own HR platform, 250+ hours of in-house build; re-hired, 5.0 review.
The problem
- Recruitment ran on a Google Sheets HR database with an old Apps Script interface that no longer worked.
- Comments and file notes crammed into one cell: hard to follow what had been done and said.
- Candidate CVs and details copy-pasted from PDFs into long text cells.
- The manager knew AppSheet and Apps Script but had no time to build the new interface himself.
What I delivered
An AppSheet app on the existing Sheets database, form-driven instead of editing cells:
- Home dashboard: active recruitment campaigns and candidate management at a glance.
- Recruitment campaigns: role, location, stage, owner, start and target hire date, actual hire date, days to hire, and a link to the role requisition.
- Candidates log: open and closed views, role, source (job board, website, referral), stage and the person responsible for the current stage.
- Candidate ↔ campaign relation: each candidate is linked to a job, and each job shows its candidates.
- Interview questions per role: 6 questions set on each campaign appear automatically when HR opens a candidate for that role.
- Configurable pipeline: 15+ stages (to be reviewed → alignment quiz → call → shortlist → interview → final candidate) and a user list with roles and access, editable in Settings without touching the app.
- Automations: a status change log per candidate, and AppSheet bots wired to the client’s existing Apps Script, so assigned people still get emails when a status changes.
- Handover: the app backend plus a recorded walkthrough of the setup and data relations, so the client could extend it himself.
Results
- Prototype demoed 5 days after the offer and approved the same day, 10 days before the deadline.
- The client used it as the blueprint for his own, larger HR platform, later 250+ hours of in-house development.
- Re-hired for a second job: an independent assessment of what that platform would cost to build if outsourced, which the client used to show its value to his business partners.
